How To Make Time For Everything | 10 Potent Hacks

Are you juggling multiple aspects of life and struggling to keep everything balanced? Despite your best efforts, does it feel like something crucial is missing—a solid strategy?

We all know planning is important, but when reality sets in, it’s easy to feel overwhelmed and see productivity slip. Multitasking has its limits, and that’s why I’ve been exploring powerful hacks to reclaim my most precious asset—time—and make room for what truly matters. Let’s dive into them!
1. Avoid Multitasking
I’ve found that trying to do everything at once is a recipe for disaster. Despite the common belief that multitasking boosts productivity, I’ve realized that focusing on one thing at a time is actually more effective. Our brains aren’t great at handling multiple tasks simultaneously, and multitasking often just leads to procrastination and feeling overwhelmed.
Instead, I focus on being intentional with my time. I prioritize quality over speed and tackle one important task at a time rather than spreading myself thin. By resisting distractions and interruptions, I’ve found I can get more done and with better results.
When I hit a wall, I take a strategic break. This helps me clear my mind, come up with fresh ideas, and recharge. It’s all about pacing myself and avoiding burnout, so I stay productive and motivated without feeling like I’m constantly racing against the clock.
2. Focus
If you’re having trouble staying focused, consider the Pomodoro method. Here’s how it works: you work in 25-minute bursts, known as Pomodoros, followed by a 5-minute break. After completing four Pomodoros, take a longer break of 15-30 minutes. It’s like racing against the clock, and it helps boost concentration while reducing mental fatigue.
For instance, if I’m studying or working on a project, I set a timer for 25 minutes and dive into the task. When the timer goes off, I take a short break to recharge. After four of these cycles, I treat myself to a longer break. This method helps me stay sharp and prevents burnout.
I make sure to avoid mind-taxing activities during breaks, like scrolling through social media, which can lead to distractions. Instead, I use the time to stretch, take a quick walk, or just relax, so I come back to work feeling refreshed and ready to tackle the next task.
Alternatively, you can try the “power hour” strategy: focus intensely for one hour, then take a break. Afterward, reflect on how productive you were, how you felt, and how you managed any lapses in focus. This reflection can give you insights and boost your motivation for the next round.

3. Set Rules

Procrastination is something we all face—putting off tasks and getting sidetracked by other distractions. For me, recognizing what triggers my procrastination has been a game-changer. It’s about being honest with myself and taking full accountability for my actions.
I’ve found that developing self-discipline is key to overcoming procrastination. Instead of blaming external factors, I focus on taking control of my habits. Setting personal rules has been a game-changer for me. For example, I now limit watching anime to specific times, create a distraction-free workspace, and use a timer to break my work into focused intervals. These strategies help me be more intentional with my time and address bad habits effectively.

4. Prioritize

This approach not only keeps me organized but also keeps my motivation high. I’ve also learned to use my mornings effectively. When my mind is freshest, I tackle the tasks that require the most focus and save the less demanding ones for later.
I’ve also set personal ground rules and learned to say no when necessary. This structured approach has not only made me more productive but also gives me a sense of accomplishment each time I check off a completed task.
5. Right-Size Tasks
Right-sizing tasks is all about aligning my effort with the impact, making sure I stay efficient and focused. By breaking down big goals into smaller, manageable tasks and planning a reasonable number of tasks for each day, I can make steady progress and keep my motivation high.
For instance, when I’m learning a new language, I find it helpful to break my study sessions into shorter, manageable chunks. Instead of trying to master an entire chapter in one go, I’ll focus on a few key phrases or grammar points each day. This approach makes the process feel less overwhelming and even a bit more enjoyable.
Similarly, when preparing for an exam, dividing the material into smaller sections and tackling one section at a time helps me avoid feeling buried under a mountain of content. It also ensures that I’m making steady progress without burning out.
Right-sizing tasks helps me allocate my time and resources more effectively. It’s about smart work over hard work—making sure that the tasks I set are realistic and manageable. And crucially, pacing myself is key. Work is a marathon, not a sprint. So, I make sure to carve out time for fun and self-care, slowing down if things start to feel too overwhelming. This balance keeps me productive and prevents burnout.
6. Domino Effect
The Domino method is a strategic task management approach where tasks or goals are prioritized and stacked based on their priority, difficulty, and impact.
The idea is to focus on one task at a time, starting with smaller and simpler goals. As you accomplish these smaller tasks, it creates momentum and triggers a chain reaction towards achieving larger objectives.
This method harnesses the power of incremental progress, akin to how a falling domino can topple larger dominos in succession.
By allocating time wisely and focusing first on tasks that move the needle forward, you can build momentum, efficiently complete tasks, and create space for more meaningful activities.
Consider employing the Domino method to streamline your workflow, achieve goals more efficiently, and support consistent progress towards your most important objectives.
7. Time Blocking & Task Batching
Divide your day into three time blocks, and give your full attention to the tasks scheduled in each specific block. Grouping similar tasks together reduces task-switching, improving efficiency and time management. Task batching also encourages idea cross-pollination, sparking creative insights and boosting productivity. Consider these examples of task batching across various aspects of life:
- Daily chores and errands:
- Dedicate a particular day or time each week for household chores like cleaning, laundry, or grocery shopping.
- Schedule a specific time for errands, banking, and routine tasks.
- Prepare meals in batches by cooking large portions to freeze or planning and prepping ingredients for the week.
- Work tasks:
- Group similar work-related tasks together, such as scheduling meetings, administrative duties, or creative projects.
- Designate specific time slots during the day to respond to emails, messages, and calls rather than checking them continuously.
- Continuous Learning:
- Allocate dedicated periods for reading or engaging in learning activities focused on particular subjects or skill sets.
8. Catch High Energy Peaks
Let’s dive into how our energy levels affect productivity. I’ve noticed that my peak times of alertness really make a difference. By understanding my chronotype or biological clock and scheduling my most challenging tasks during these high-energy periods, I can get more done with less effort. It’s about working smarter, not harder. I’ve found that aligning my work with my natural rhythms helps me stay efficient and less fatigued.

9. Maximize Time Pockets
Ever heard of “sukima-jikan”? It’s a Japanese concept that highlights the value of the gaps of time between tasks. These often-overlooked moments can be golden opportunities for productivity. Whether it’s brainstorming, jotting down ideas, or engaging in brief exercises, these intervals offer a chance for a fresh perspective.
While it may seem like multitasking, it’s actually about optimizing small time pockets without compromising focus on important tasks.
Instead of scrolling through social media during short breaks, I use these gaps to recharge or tackle quick tasks. For example, with a 10-minute break between meetings, I might review my to-do list, organize my workspace, read a few pages of a book, respond to a quick email, return missed calls, take a short walk, or do some light stretching.
This approach helps me stay productive and sharp throughout the day, turning idle moments into opportunities for progress. By filling these gaps wisely, I keep my momentum and ensure no time is wasted.
“Sukima-jikan” can also help tackle significant tasks. For instance, listen to an audiobook during your commute or practice speaking phrases in the shower. This approach breaks tasks into smaller, manageable parts, making them easier to incorporate into your routine.

10. Meditate
Meditation has been really effective for me in managing my time and mental well-being. Often, I find myself caught up in worries and overthinking, which only drains my energy and productivity. Through meditation, I’ve learned to become more aware of these negative patterns and detach from the need for external validation.
Marcus Aurelius summed it up succinctly: “You can control your mind, not outside events.”
This insight has helped me focus on what I can control—my thoughts and reactions—rather than stressing over things beyond my influence.
By practicing meditation regularly, I’ve found it easier to let go of unnecessary worries and embrace a more authentic approach to life. It’s a process, but the benefits are worth the effort.
